You did not choose knowtheroom. The person presenting did. So this section comes first, and it is the part worth reading.

You do not need an account. You join by scanning a code and opening a web page. There is no app. You are never asked to sign up, sign in, give a name, give an email address, give a phone number, or connect anything.

Nothing is collected from you during the talk. Your phone shows you cards. It does not ask you anything, and there is nothing on it to type, tap, or send. Whether you read a card, and what you think of it, stays with you.

Two questions, answered once: why you are in the room, and how close the subject is to what you do. They describe your role, not you.

A short random identifier, stored in your own browser for the length of the session, so your phone knows which session it is in. It is not tied to you and it stops being useful when the session ends.

Whether your phone is awake and on the current beat. This is how the big screen can say “attention is holding” without asking anyone. It is never shown per person.

This is the part to read twice. To write cards in your language, knowtheroom may read things about you that are already public: a talk you gave, something you published, a portfolio or a company page. It only does this where your two join answers and the event context point clearly at one public professional profile. If they do not, it looks nothing up and writes from the deck and your two answers alone. It never guesses.

What it reads is used to choose and word your cards, in that session, on your phone. It is not shown to the presenter, it is not shown to anyone else in the room, it is not added to a profile, and nothing about you is stored beyond the session.

You can decline the lookup when you join. You still get cards, written from the deck and your two answers.

Statements about the room as a whole, drawn from who is in it and where attention is: “nine people here have shipped a recommendation system”. Never a name, never a face, never one person’s card.

Which parts of the room were shown which kind of card, and the questions the room was given to hold. Grouped by role, never by person. The presenter does not see your name, your join answers, or anything that was looked up about you.

One caveat worth being honest about: in a small room, a presenter who knows who is sitting where may work out which group you were in. They still cannot see your cards.

The cards written for a session, and the recaps, are kept for 30 days so that the presenter and the attendees can reread them, and are then deleted. Looked-up material is discarded when the session ends.

The identifier in your browser is removed when the session ends, or whenever you clear site data for this site.

Your account is created and held through our authentication provider, Auth0. We keep your email address to identify your account and contact you about it. We do not add you to a mailing list.

Your deck. A PDF you upload is used to generate the beats and cards for your session, and stored so you can run that session again. It is yours. It is not shown to other customers, not published, and not used to train a general model.

Your voice. With the mic on, your talk is transcribed live so the session can follow which claim you are on. The transcript is kept with the session on the same 30 day basis. The audio itself is not stored. Turn the mic off and nothing is transcribed; you advance beats by tapping.

You can delete a deck, a transcript, or a whole session yourself at any time.

The site and the product run on hosting infrastructure. Accounts run through Auth0. Deck text, transcript, and looked-up material are sent to a language model provider to write the cards. Public lookups run through a web search provider. Transactional email is delivered by an email provider. Each of these processes data on our behalf and for no other purpose.

Email hello@knowtheroom.com and a person will answer. You can ask what is held, ask for it to be deleted, or ask us to delete a whole session.

If you were in the audience, tell us roughly when and where the session was. Since we hold nothing that identifies you, that is the only way we can find it.
